2. Scope of this policy
This policy explains how information is handled when you browse this website, use the consultation or contact forms, or communicate with SYNAM through the WhatsApp and email links provided here.
3. Information you may provide
Depending on the form you use, you may choose to provide:
- Your name and organisation.
- Your email address and phone or WhatsApp number.
- The professional service you require.
- A subject, description of your request, preferred contact method and urgency.
- Any additional information you include in a message sent to us.
Please do not enter passwords, payment-card details, banking credentials or sensitive financial documents into these website forms.
4. How the website forms work
When you submit a form, the website validates the required fields and uses Cloudflare Turnstile to help distinguish genuine visitors from automated abuse. If the check succeeds, the form information, submission time, reference number and delivery status are stored in a Neon Postgres database.
The website uses Resend, a transactional email-delivery provider, to send an acknowledgement to you and a new-submission notice to SYNAM. An acknowledgement confirms technical receipt only; it does not mean that SYNAM has accepted an engagement or agreed to a deadline.
5. How we use messages you send
SYNAM may use information you send to:
- Review and respond to your enquiry or consultation request.
- Understand the professional assistance you require.
- Communicate with you through your preferred contact channel.
- Maintain appropriate business and professional records.
- Meet legal, regulatory, accounting or security obligations.
Submitting an enquiry does not by itself create a professional adviser-client relationship.
6. Technical information and service providers
Vercel hosts the website and runs its server-side form function. Neon provides the Postgres database used to store accepted submissions. Cloudflare performs the Turnstile humanity check. These providers may process technical or personal information needed to secure and operate their respective services, such as your IP address, browser information, requested page, request time, form details and Turnstile result.
Resend processes your name, email address, form subject and reference details to send the acknowledgement, and processes the submitted information to notify SYNAM. Resend may process this information through infrastructure outside Uganda under its own privacy and security terms. The website also loads fonts, icons and scripts from content-delivery services. WhatsApp or your email provider processes information under its own terms when you use the direct contact links.
7. Cookies and similar technologies
SYNAM does not currently use first-party advertising or analytics cookies through this website. Cloudflare Turnstile may use essential technical signals or storage needed to provide security and prevent abuse. Other third-party resources may apply their own technologies. This policy should be updated before analytics, advertising or embedded media are added.
8. Sharing and disclosure
SYNAM does not sell personal information. Information you send may be shared only where reasonably necessary to respond to you, deliver requested professional services, work with authorised service providers, comply with law or protect legitimate legal and security interests.
9. Retention
Form submissions, related email records and direct messages may be retained for as long as reasonably necessary to review and respond to the enquiry, maintain appropriate professional and business records, meet legal obligations, handle disputes or protect security. The applicable period may depend on whether SYNAM formally accepts an engagement. Information that is no longer reasonably required should be deleted or anonymised, subject to lawful record-keeping requirements.
10. Security
SYNAM takes reasonable steps to protect information under its control. However, no internet transmission or third-party messaging service can be guaranteed to be completely secure. Use an agreed secure channel before sending confidential records or sensitive documents.
11. Your choices and rights
Subject to applicable law and any professional record-keeping obligations, you may contact SYNAM to ask about personal information held about you, request correction of inaccurate information, object to or restrict certain processing, or request deletion where appropriate.

12. Children's information
This website and SYNAM's professional services are not directed to children. A parent, guardian or authorised adult should contact us where professional assistance concerns a minor.
13. Changes to this policy
We may revise this policy when the website, communication channels, legal requirements or data practices change. The effective date above will be updated when material revisions are published.
